Additional Business Partner Attendee Payment Policy
Your registration entitles you to attend the 2026 AOA Annual Conference for which you have registered.  Any and all other costs associated with your attendance shall be borne solely by you, and AOA shall have no liability for such costs.  The payment of the applicable registration fee for the 2026 AOA Annual Conference is due upon completion or your registration.  Payment to be by credit card.  If such payment is insufficient or declined for any reason, the Auxiliary Organizations Association may refuse to allow you to attend the AOA Annual Conference, and shall have no liability in that regard.  Access links for any portion of the conference will be sent to those registrations that show no outstanding balances owing prior to the start of the event.  Registrations that show a balance owing will not be granted access to the event, and AOA will retain any payments made by you.

Code of Conduct Policy - You acknowledge and agree that AOA reserves the right to remove you from the conference, if in its sole discretion, determines that your participation or behavior create a disruption or hinder the event or enjoyment of the conference by other attendees. 

Business Partner Sponsorship Payment Policy 
1. Business Partner Sponsorship benefits begin only when AOA has received payment for your sponsorship.
2. Payment for a Business Partner Sponsorship must be received by AOA within 30 days of sponsorship registration, AND NO LATER than December 12, 2025. 
3. Sponsorships may be paid by credit card, check or wire transfer.
4. When paying by check, please make the check payable to Auxiliary Organizations Association.  When paying by wire transfer, please provide AOA with the date of the wire transfer AND the confirmation number.

Additional Business Partner Attendee Cancellation And Substitution Policy
1. Requests for cancellations or substitutions must be emailed to the AOA Operations Manager, at Admin@csuaoa.org.  All requests for cancellations or substitutions must be received by 5:00 p.m., on Friday, December 12, 2025.
2. If you do not cancel and do not attend the event, you are still responsible for payment.
3. Cancellation requests made before December 12, 2025 will be charged a refund processing fee of $50.00. 
4. Cancellation requests received after December 12, 2025 are not eligible for refunds. 
5. Substitution requests made before December 12, 2025 will not be charged a substitution processing fee. 
6. Substitution requests made after December 12, 2025 will be charged a substitution processing fee of $50.00.

Business Partner Sponsorship Cancellation Policy
1. Business Partner requests for cancellation of their AOA conference sponsorship must be emailed to the AOA Operations Manager, at Admin@csuaoa.org, and received by November, 30, 2025. 
2. A processing fee equal to 15% of the conference sponsorship amount will be applied to each refund request received by November 30, 2025.
3. Cancellation requests received between October 1, 2025 and October 31, 2025 will receive a partial (75%) refund less a 15% processing fee. 
4. Cancellation requests received between November 1, 2025 and November 30, 2025 will receive a partial (50%) refund less a 15% processing fee. 
5. Cancellation requests received after November 30, 2025 are not eligible for refunds.
6. All attendee registrations associated with sponsorship are invalid at time of sponsorship cancellation.

Business Partner Conference Presenter Policy
1. Presenters that are identified as a current or potential AOA business partner will be required to commit and pay for a conference business partner sponsorship. 
2. AOA does not cover travel, lodging, meals or any other expenses associated with presenting at a concurrent session.

Permission To Use Audio/Visual Images
By participating in the 2026 AOA Annual Conference, you acknowledge and agree to grant the Auxiliary Organizations Association the right to record, film, live stream, photograph, or capture your likeness in any media now available or hereafter developed and to distribute, broadcast, use or otherwise globally to disseminate, in perpetuity such media without any further approval from you or any payment to you.
